Council of Pheathers Meeting

IN ATTENDANCE:
President Lisa Schott, Secretary Laurie Ramsteck, Membership Officer Mary Libbey, Keeper of the PHlock Edi Meadows, Member Advocates Paul Fraas and Jackie Dorsey, Jeff Dubey, Jim VanPelt, Jim Thomas, Josh Ramsteck, Jody Jones, Dee Hill

CALL TO ORDER:
Lisa Schott called the meeting to order at 7:00pm.

SECRETARY’S REPORT:
Laurie Ramsteck thanked Edi Meadows and Lisa Schott for taking the minutes for April. The minutes will be posted to the website.  Jeff Dubey made a motion to accept the report and it was seconded by Mary Libbey and the motion was passed unanimously.

LIFE 4 CORA
Member Dee Hill did a presentation to the Council about her foundation called Life 4 Cora. The foundation is about spreading awareness and raising money for organ donation. Council agreed that the Club would support this cause and we can have organ donation cards available at Phlockings.

TREASURER’S REPORT:
Council received the Treasurer’s report from Colene Clark via e-mail and will be reviewed at the next Council meeting.

MEMBERSHIP OCCIFERS REPORT:
Mary Libbey reported that we added 8 new members since last report. We currently have 372 members!! Laurie Ramsteck made a motion to accept the report and it was seconded by Jim VanPelt and the motion was passed unanimously.

Mary discussed the possibility of having a Communications Director position that is separate from the Membership Occifer. Council liked the idea and will discuss further next month as this will require rewriting our Bylaws.

KEEPER OF THE PHLOCK REPORT:
Edi Meadows had no new information this month. Still working on entertainment for November Phlocking.

VICE PRESIDENT’S REPORT:
No report this month.

EXECUTIVE OCCIFER’S REPORT:
No report this month.

MEMBER ADVOCATE’S REPORT:
Jackey Dorsey reported that she has checked into some of our local newspapers and publications for information on advertising our Club and activities.

PRESIDENT’S REPORT:
Lisa Schott reported that she will not be at the June Phlocking and will need our Vice President to take over initiation.

Lisa also discussed welcoming new members. We all need to make a better effort to talk to our new members or any members sitting by themselves and get them involved and comfortable.

Lisa announced that anyone going to any Parrothead events – she will provide vouchers for free registration to Fruitcakes in the Alley for gift baskets etc.

We are still looking into an affordable way to have a club pub crawl. Josh Ramsteck will look into the cost of renting an RV.
Edi Meadows made a motion to accept the report and it was seconded by Jim VanPelt and the motion was passed unanimously.

OLD BIDNESS:

PHLOCKING PHUNDS DESIGNATION FOR JUNE:
Council decided that the phunds for June will go to Life 4 Cora Foundation. Lucky Stars for June is a Nursing Home. Deb Casey-Wood to handle.
A motion was made for July’s Phlocking PHunds to go to the March of Dimes. Motion was seconded by Edi Meadows and the motion passed unanimously.

BONDING INSURANCE UPDATE:
Lisa Schott has submitted the paperwork to get a quote on the cost and is awaiting to hear back on this subject.

TAX RETURNS:
Lisa to follow up with Chuck, Colene and Tony on this matter. We need to get this matter taken care of.

NEW BIDNESS:

A1A BEACH VOLLEYBALL:
Lisa Schott requested funding for up to 5 teams and a T-shirt sponsorship for the A1A Beach Bash. The cost would be no more than $300. Laurie Ramsteck made a motion to approve and it was seconded by Jim Thomas and the motion was passed unanimously.

MUD VOLLEYBALL:
Jeff Dubey reported that this event is August 21st. Our Club is in charge of all the volunteers this year. The event is looking for a sponsor for 30 kegs of beer at a cost of $1500. We will probably have 2 teams playing at $450 per team (each team will pay for themselves) which will go towards offsetting part of the $1500. Also, this sponsorship will allow our members access into Club Mud, put our Club name on their event t-shirts and be the featured sponsor with lots of publicity. After a brief discussion, Jeff Dubey made a motion for our Club to sponsor the beer at a cost of $1500. The motion was seconded by Jim Thomas and the motion was passed unanimously.

PUBLIC RELATIONS:
This was briefly discussed earlier during the Membership Occifers report. We will discuss further at next month’s Council meeting.

CALENDAR UPDATE:
Council reviewed the yearly event calendar. The first quarter of the year is heavily loaded with community service events. We will look at moving the Poker Tournament to later in the year. Council also discussed finding other ways to serve Give Kids the World since volunteer attendance has been very low lately. We may change aur Beach Clean up to coincide with International Beach Clean Up day.

ANNUAL GENERAL MEETING:
Council discussed a possible date of October 10th with our fall picnic.

OTHER:

NEW MEMBERS:
We need to continue emphasizing community service activities to our new members.

Jim Thomas made a motion to adjourn and it was seconded by Jeff Dubey and the meeting was adjourned at 9:16pm.
