-Cherie Johnson – Distributed Membership report showing 242 members, 156 memberships as of December 2019.  Gary Einstein and Cherie will audit report against member name list by the January 27th and validate the number of club members.  Cherie will send report back to Executive Board to approve ad Amy Clark will file the report as past president with PHIP. Dues need to be paid with the correct number by 1/31/2020. 

-Raymond – Keeper of the Phlock – Social returns to Kiwis for February and March.

Sonja Bayne suggested February feature luggage or backpack collection for Foundation for Foster Children.

-Amy Huttunen.  Nov and Dec minutes were posted to the website during the council meeting.   Council page will be posted shortly.  Online registrations are going well, however dismal response to request to updated profiles.  Lacking site calendar content.  There is nothing posted past March. 

Channel usage:  The Facebook group is open to public, > 1k members. 
Club business only: Facebook page is the corporate representation of the club.

Lou requested list of other club distribution channels.  Amy will follow up.
– ADMIN – WP ADMIN (Word Press) –  Amy Huttunen will check who has access.
Request for all to use font and colors that are easy to read.  Don’t copy and paste content that is hard to read.
– Phlock mail – Amy has access and distribution list. 

-Dave – no report.  Will get with Terry Clark and find out where our stuff is and what we have.

Distribution of Q4 2019 Bank Account Status, 2019 Club Budget, 2020 Club Budget. 

Several line items were discussed

Mary – Motion to use raffle table to fund for sea oats at February Phlocking.  Monies from raffle to be added to line item in budget already earmarked for Sea Oats (current balance $302.00) Total needed for Sea Oats project this year is $424.00.  All monies collected will remain in that line item for use in 2021

Amy Clark is contesting Square Processing Fees of $350.

Gary presented the 2020 budget for the Board’s review. 

Each line item was discussed and changed as the Board felt necessary.  The Board agreed to uphold at this time last year’s decision that the picnics will be removed from the club budget.  Picnics can be organized by individual members or a committee and self-funded going forward.

NEW Bidness:

-ORIENTEERING POSTING REQUEST – Megan – Common ground w/Conway Improvement Initiative for Beautification Projects.  They are hosting an orienteering event, raising money for charity.  $6 to attend on Feb. 16. 
Approval to post on our site.  Megan will send out link.
-PHLOCKINGS/SOCIALS – Megan – Discussed social location changes for April.  How to get more people to attend?    Heat map of zip codes shows north Orlando most people.  20-30 out west.   Find a place that is cool so people want to drive out.  Look at change of day first.  Wed, Sun… Thurs was successful in the past.  Consider Moose or Elks – Royal order of the Moose locations.  Move up start time also a consideration.

Old Survey suggested Wed, Thurs. Board recommended that a new survey go out and add Sunday to the mix.
Mary appointed a new Committee to review options: Megan, Robert, Amy Clark, Gary, Sonja.  Amy H will issue new survey.

-PHIP REPORT and COMMUNICATION CONTACTS – Amy Clark indicated PHIP report/communications contains members counts, charities, operating restrictions, etc.

Club picnics have not been assigned.  Mary to draft an email regarding the picnics for the Phlock to know why and how to change it.

2019 Cost
$1965 raised and club paid shortfall of $1453.

Chair came in late and concert cancellation played into the results.

Amy Clark volunteered to chair the 2020 Christmas party.  Discussion of dates in Nov, Dec, Jan.  Due to Jimmy’s concert on December 5th, Thanksgiving and the Phlock’s personal holiday parties a suggestion was made to hold the party in January vs. December.
